What is collected

The scope-request form collects your name, work email, organisation, role, organisation size, what you are trying to govern, how AI is currently being used, timeframe and optional high-level context. It does not ask for confidential source material.

Why it is collected

Traigun Pty Ltd uses this information to assess whether there is a suitable delivery pathway, respond to the request and administer a prospective engagement.

What not to provide

Do not submit confidential, personal, privileged, regulated or sensitive source material through the scope-request form. A separate approved route is established before sensitive material is exchanged or processed.

How information is handled

Scope-request information is sent through a controlled server-side route. It is not included in a public URL and is not used to make an automated decision about you.

Traigun handles personal information in line with the Australian Privacy Principles. That is our practice. It is not a statement that Traigun is legally bound by the Privacy Act or the Australian Privacy Principles.

Cloudflare serves traigun.org and may process your IP address and ordinary request logs as part of delivering the website.

Requesting early access to the Traigun AI governance workspace

This section explains what happens to the information you give us when you request early access to the Traigun AI governance workspace on traigun.org (the “Request early access” form on our home page). This is a request for access, not a newsletter subscription. You don’t create an account or a password.

What we collect

• Your name, work email and organisation name.
• Your consent to hear from us, the date and time of your request, the version of the consent wording you agreed to, and the page or campaign you came from (recorded automatically).

That’s all. We don’t ask for your phone number, address, job title or a password. The form also has a hidden spam-prevention field that people don’t fill in.

Why we collect it

• To email you about your early access to the Traigun AI governance workspace, including occasional optional questions that help us shape it.
• To understand which organisations are interested, so we build the right thing.

We don’t use your details to send you a newsletter.

We don’t sell your information, and we don’t share it with other businesses for their marketing. We don’t use it to make automated decisions about you.

Where it’s held

Your details are kept in Traigun Pty Ltd’s Google Workspace, in a Google Sheet. Access is limited to the people at Traigun who need it. Google may store this information on servers outside Australia.

We keep a record of when you agreed and which version of this wording you saw.

How long we keep it

We keep your details while your early-access request is open. If you unsubscribe, we delete your details within 30 days, apart from a minimal note that you’ve opted out so we don’t email you again. If the early-access program ends, we’ll delete these details within 12 months of it ending, unless you’ve become a workspace user or asked to stay in touch. These periods are our practice. They are not stated here as a legal requirement.

Unsubscribing, access and deletion

• Unsubscribe: use the unsubscribe link in any email, or email privacy@traigun.org with “Unsubscribe”. We’ll stop emailing you within 5 business days. You don’t need to log in or give us any extra information.
• See, correct or delete your details: email privacy@traigun.org. We’ll respond within 30 days.
• Questions or concerns: contact us at privacy@traigun.org.

Emails we send

Every early-access email comes from privacy@traigun.org, identifies Traigun Pty Ltd, and includes a way to unsubscribe.
